Who we are

The Access Exchange ("we", "us") operates theaccessexchange.com. We connect people to accomplished leaders, meaningful knowledge, practical guidance and opportunities, through our Interview Series, university and institutional engagements, corporate partnerships, live experiences, professional coaching, and coach training and certification.

For any question about this policy or about your data, contact us at [BUSINESS EMAIL]. Our postal address is [POSTAL ADDRESS].

What we collect, and why

Information you give us in a form

The site has several inquiry forms - guest consideration, corporate partnership, university engagement, professional coaching, coach training, and general inquiry. What each one asks for differs, but across them we may collect your name, professional title, organisation, email address, company website, LinkedIn profile, location, areas of expertise, and whatever you choose to write in the free-text fields.

We use this only to read and respond to your inquiry, and to keep a record of the conversation. We do not sell it, and we do not add form submissions to our mailing list unless you separately opt in.

Email signup

If you join The Access Exchange, we collect your email address and use it to send occasional updates about new interviews and related work. Every email includes an unsubscribe link, and unsubscribing removes you from the list.

Information collected automatically

Like most websites, our host records standard server logs - IP address, browser type, pages requested and timestamps - for security and troubleshooting. We also use analytics, described below.

Cookies and analytics

We use Google Analytics 4 to understand how the site is used: which pages people read, which interviews they play, and which inquiry routes they take. This is measured in aggregate; we are interested in patterns, not in identifying individuals.

Google Analytics sets cookies in your browser. You can refuse them through your browser settings or through any consent banner shown on this site, and the site will continue to work normally.

We do not run advertising cookies or third-party ad tracking.

Embedded third-party content

YouTube. Interviews are hosted on YouTube and embedded here. We deliberately use a click-to-load embed: until you press play, nothing is requested from YouTube and it sets no cookies on this site. Once you press play, YouTube receives your request and its own privacy policy and cookie practices apply. We use the youtube-nocookie.com domain, which limits but does not eliminate that tracking.

Google Fonts. Typefaces are served by Google Fonts, which means Google receives your IP address when a page loads. If this matters for your jurisdiction, the fonts can be self-hosted instead - see README-WORDPRESS.md.

Who else sees your data

We share personal data only with the services required to run the site and answer you:

  • Our web host, [HOST], which stores the site and its database.
  • [SMTP PROVIDER], which delivers form notifications and confirmation emails.
  • Google, for analytics, fonts and video, as described above.

We do not sell personal data, and we do not share it for anyone else's marketing.

How long we keep it

Form submissions are kept as long as the inquiry is live and for a reasonable period afterwards as a record of the conversation. Mailing-list subscriptions are kept until you unsubscribe. Analytics data is retained according to the retention period set in our Google Analytics account. You can ask us to delete your data sooner.

Your rights

Depending on where you live, you may have the right to ask us for a copy of the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable form. Residents of the EU and UK have these rights under the GDPR; residents of California and several other US states have comparable rights under state law.

To exercise any of them, email [BUSINESS EMAIL]. We will respond within the period the applicable law requires. You will never be charged or treated differently for asking.

Children

This site is intended for adults and for students in higher education. We do not knowingly collect personal data from children under 13. If you believe a child has given us their data, contact us and we will delete it.

Security

The site is served over HTTPS, kept updated, and protected by spam filtering on every form. No website can promise perfect security, but we take reasonable measures to protect what you send us.

Changes to this policy

If we change how we handle personal data we will update this page and change the date at the top. Material changes will be made clear rather than slipped in.
